Referral, discharge and report letters are the same letter with different names in it. Write each once as a template and a new letter becomes a read-through.

Build one

1

Open Settings, then Letter Templates, and add a template

Give it a Template name, for example GP referral.

2

Write the Content

The editor has headings, lists, bold and a table. Insert placeholders where the patient's or practitioner's details belong; the Patient, Practitioner, Appointment and Business groups are available, and the clinic letterhead comes from Documents & Printing.

3

Set an Email subject

Optional. When a letter made from this template is emailed, the subject is prefilled with it. Save.

A letter template editor containing letter text with placeholders such as Patient Full Name, Date of Birth and Practitioner Full Name, and an Email subject field above it.
A Doctor's referral letter template with placeholders for the patient's name and date of birth and the practitioner's name and title.

This list is one for the whole clinic; every location uses it, and there's nothing to set up again when you add a location.

Placeholders that need a choice

Patient and Business placeholders fill in on their own. A template that uses Appointment or Practitioner placeholders asks the person writing the letter which appointment and practitioner to use, because a patient may have several. Keep a template to one practitioner and one appointment, and leave those groups out of letters that don't refer to a visit.
